Roles and Permissions
What if I can't see a subject or need another Site Staff member to access another Site Staff's subject?
If a Site Staff member needs to see subjects that were created by another Site Staff member, the site Administrator can edit the Site Staff profile and change their role to Administrator.
This will grant them access to all subjects at the site.
To make this change:
- Log in as an Administrator
- Navigate to the user management section
- Find the Site Staff member's profile
- Change their role from
Site StafftoAdministrator - Remember that this will give them full administrative access to all subjects and user management capabilities.

I forgot my password. What should I do?
If you forgot your password, click the Reset password button on the login page and follow the instructions to reset it.
Study Timepoints and Visit Windows
How are visit timepoints calculated for each subject?
The platform uses a dynamic timepoint calculation system based on each subject's first photograph upload.
The date of the first photograph upload automatically becomes the subject's baseline anchor date, and all subsequent visit windows (Week 64, Week 76, Week 88, etc.) are calculated from that date using the protocol-defined intervals.
Key points:
- Each subject has an independent schedule based on their own first upload date
- If a subject uploads their first photos on April 1st, their Week 64 visit will be 64 weeks from April 1st
- If another subject uploads on June 15th, their Week 64 visit will be 64 weeks from June 15th
- The weekly deviation notification emails reflect each subject's individual timeline

When does a subject's timeline begin?
A subject's timeline begins when they upload their first set of photographs to the platform. This first upload date is used as the anchor for all future visit calculations.
Make sure subjects understand the importance of uploading their photographs within the appropriate visit windows to maintain protocol compliance.
